The short answer
You can automate QuickBooks Online and Xero equally well. We work with Make, Zapier, or n8n, whichever fits your firm, and both ledgers offer an API for custom work. For most firm workflows, the choice of ledger matters less than how clear and consistent your process is.
What stays the same
- Document requests and reminders run outside the ledger, so they work the same for both.
- Client onboarding and tax-season intake connect to either one.
- You own the automations either way.
Where they differ
The differences are in the details: what data each platform makes available, what each one calls things, and how each handles categories and bank rules. That changes how we build transaction follow-ups and data entry, not whether we can.
| QuickBooks Online | Xero | |
|---|---|---|
| Works with no-code automation platforms | Yes | Yes |
| API for custom builds | Yes | Yes |
| Document requests and reminders | Same workflow | Same workflow |
| Transaction follow-ups | Built for QuickBooks Online | Built for Xero |
Firms that use both
If your firm has clients on each, one workflow can serve both. We keep the platform-specific part small and separate. Your team gets one process, whichever ledger a client uses.
Before you automate either
- Agree on one way of naming clients across your tools.
- Decide who reviews automated work before anyone posts it.
- Start with the one workflow that costs you the most time.
